Position Title: Office Assistant (Full-Time) 

POSITION SUMMARY 

The Office Assistant is the front-line administrative and information support role for Bainbridge  Advocacy Individual Network (BAIN), Inc., a Center for Independent Living. This position  provides front desk coverage, phone reception, and basic Information & Referral (I&R) support  while maintaining a welcoming, accessible office environment. The Office Assistant also  supports daily administrative operations and assists staff and the Board of Directors to ensure  smooth, responsive service delivery. 

ESSENTIAL DUTIES & RESPONSIBILITIES 

Front Desk & Phone Coverage 

• Answer and route incoming phone calls 

• Maintain a welcoming and accessible front office environment 

• Monitor voicemail and ensure timely follow-up 

• Assist with scheduling appointments and visitor sign-in 

Information & Referral (I&R) 

• Answer I&R phone calls in a respectful, trauma-informed manner 

• Provide basic information and referrals to individuals with disabilities, families, and  community members 

• Assist walk-in visitors with in-person I&R support 

• Document I&R contacts according to agency procedures 

• Refer complex or urgent needs to appropriate staff

Board & Administrative Support 

• Provide administrative support to the Executive Director and Board of Directors • Assist with board packets, agendas, sign-in sheets, and meeting materials • Support meeting logistics and scheduling 

• Maintain organized electronic and paper filing systems 

General Staff Support 

• Provide clerical and administrative support to staff 

• Assist with data entry, copying, scanning, and mail 

• Support outreach events and office activities as needed 

• Maintain office supplies and general office organization 

• Perform other duties as assigned 

REQUIRED QUALIFICATIONS 

• Relevant education or equivalent experience 

• Strong communication and organizational skills 

• Commitment to disability inclusion and independent living values

FUNDING CONTINGENCY STATEMENT 

This position is contingent upon the availability and continuation of grant, contract, or other  funding sources. Continuation of employment or contract is dependent on satisfactory  performance and continued funding.
